As Mike’s Executive Assistant, you will be his trusted partner, ensuring nothing falls through the cracks across his vast business ventures. You’ll bring order to chaos, clarity to communication, and calm to the fast-paced world of real estate leadership. This isn’t a job for someone who wants the spotlight — it’s for someone who loves being the stage crew that makes the spotlight possible.

This role is deeply immersive, fast-moving, and requires grace under pressure, radical ownership, and unwavering professionalism.

Compensation & Benefits

  • Salary: $70,000–$75,000 based on experience
  • Bonus Potential: Performance-based bonus structure
  • Benefits: Health, dental, vision, and retirement package
  • Schedule: Primarily in-person, with potential for one remote day per week after 4 months
  • Location Flexibility: You’ll follow Mike’s schedule (Ardmore on Tuesdays, KW Media on Wednesdays, Broad Street on Thursdays, etc.) and travel locally as needed
  • Work-Life Rhythm: Not a 9-to-5 — this is a “get-it-done” role, with the understanding that flexibility goes both ways

Responsibilities

Administrative & Executive Support

  • Attend meetings with Mike (recruits, clients, staff, partners) and take actionable notes
  • Follow up on all meeting deliverables, delegate tasks, and communicate effectively
  • Manage Mike’s calendar, travel, and logistics to maximize efficiency
  • Handle email and phone communications on Mike’s behalf, maintaining his voice and tone
  • Prepare materials, reports, and presentations for key meetings

Operational & Business Support

  • Track recruiting efforts and coordinate communication with prospects
  • Support listing managers and admins without duplicating responsibilities
  • Keep communication flowing smoothly across multiple ventures (residential, commercial, brokerages, partnerships)
  • Follow up on Mike’s verbal commitments and help manage special projects

Relationship Management

  • Act as a liaison between Mike and key internal/external stakeholders
  • Build strong rapport with team members, clients, and leadership
  • Maintain absolute confidentiality and professionalism at all times

Leadership & Communication Alignment

  • Collaborate with both the Team Manager and Director of Operations, who will also provide oversight and task delegation
  • Balance direction from multiple leaders while maintaining focus on supporting Mike’s top priorities
  • Communicate proactively across leadership to ensure aligned goals, clear expectations, and smooth workflows

Qualifications

  • Experience supporting a high-level executive in a fast-paced environment
  • Extreme attention to detail and organization; nothing gets past you
  • A proactive mindset with strong problem-solving abilities
  • Clear, professional, and tactful communicator — both spoken and written
  • Ability to set boundaries, hold others accountable, and protect Mike’s time
  • Comfortable setting boundaries and ensuring tasks are handled by the appropriate team members
  • High emotional intelligence and the ability to manage up
  • Ability to work in-person and travel locally as needed
  • Flexible with hours and responsive when Mike is working across time zones
  • Strong tech literacy: Google Workspace, iPad/iPhone, scheduling tools, CRM systems, Monday.com, BrightMLS, Docusign/Dotloop
  • Real estate experience is a plus, especially in administrative, operational, or executive support roles.
  • Bachelor’s degree preferred but not required

Compensation

$70,000 – $75,000 Base Salary based on experience
